Troubleshooting the e-mail notification (subscription) in threads that you have posted in - problem solved

Dear Forum Users,

We have been informed that a few forum users are having a problem receiving email notifications from threads that they are subscribed to (for example threads that they have started themselves). Unfortunately, at this moment, we aren’t able to pinpoint exactly why some users aren’t receiving certain forum notifications. Our technical team is trying to get to the bottom of it, but due to the limitations of server structures and software applications it’s proving to be quite difficult.

If you are having this problem, we could use your help to identify the root of the problem – we would appreciate it if you could reply to this post with a link to the thread(s) you are “subscribed” to but don’t receive email notifications for.

(the first thing to check is if the e-mail notifications have perhaps landed in your spam folder)

Thank you for your patience and assistance!

Here you can see how the subscribe option is supposed to work (we are talking about Option 3 here):
forum.susana.org/forum/subscribe

How do you know that you are one of the cases where it is not working properly?

If you have made a post in a thread then you should by default receive all replies that are posted in the same thread after your post (you can untick this default subscribe option easily by clicking on "unsubscribe" at the bottom of the post; note that you can only see the subscribe/unsubscribe buttons at the end of a thread if you are logged in).

Therefore, if you are not getting such e-mail notifications from posts in "your" threads, despite not having changed the default setting, and despite having checked your junk mail folder, then you are one of the people that we would like to hear from! Thanks.

Re: Please help us with troubleshooting the e-mail notification (subscription) in threads that you have posted in

Hi,

I frequently do not receive announcements that someone has added to a thread that I am contributing to ... although sometimes I do get these announcements. One big example is in the thread discussing the BlueDiversion Toilet ( forum.susana.org/forum/categories/106-us...oilet-in-urban-slums ), where I had not seen for over a month that Tove had responded, thus my response was also late. These automated announcement messages are quite sporadic.

A recent message from Elisabeth to members of Wg4 ("Invitation to webinar 7") went into my Gmail "Promotions" folder instead the "Primary" folder. I moved it into the Primary folder, so in the future this should not happen. I looked in the Spam folder recently and found nothing from SuSanA.

Good luck fixing this.

Best wishes,
Chris

Re: Please help us with troubleshooting the e-mail notification (subscription) in threads that you have posted in

Haven't noticed it myself as I tend to avoid subscribing to lessen the email load I am already getting. Usually it seems to be working though.

As an idea: have you tried correlating the number of subscription of a single thread with this issue? High volume threads with lots of users subscribing might run into the email throttle most servers have. Depending on the configuration this might also effect mails send shortly after as sending can be blocked for a short time.

Some social media systems allow for email "offloading", i.e. that not all subscription emails are sent the same time but rather in chunks of say 100 to avoid triggering the above throttle and overloading the server. Check your settings for that.

Re: Please help us with troubleshooting the e-mail notification (subscription) in threads that you have posted in

I have not gotten notifications of posts to either of the threads I am "subscribed" to.
forum.susana.org/forum/categories/67-san...ter-reuse-in-namibia
forum.susana.org/forum/categories/60-wg-...m-all-over-the-world

They show up as subscriptions in my profile, and I have checked my junk mail, but I haven't seen any email notifications.

Amanda

P.S. By the way, I got the notifications of new posts in this thread though!

Re: Please help us with troubleshooting the e-mail notification (subscription) in threads that you have posted in

Thanks Krischan for your advice, we are looking in that way too. But at the moment we think there should be no server restriction for the amount of subscription mails. These are much less than the SuSanA news mails and forum digest mails. At the moment we suppose a bug in the forum engine for sending out the subscription mails to multiple recipients in "chunks". To find it out it is helpful to have some answers here with links to threads where subscriptions notifications not working for users. So we can analyse that threads and hopefully find the cause.

Thanks!
Steffen

Re: Please help us with troubleshooting the e-mail notification (subscription) in threads that you have posted in

Hello, unfortunately my subscription also doesn't work anymore. It seems that mainly the threads I opened myself are affected. I can't remember exactly when it started, but maybe around Dec 13/ Jan 14. I still receive notifications for the following threads:
• The Clam forum.susana.org/forum/categories/52-mob...postable-chamber-pot
• Peepoos in emergency situations - forum.susana.org/forum/categories/52-mob...emergency-situations

I don't receive notifications for those topics/ comments:
• Simple Urine Valves - forum.susana.org/forum/categories/34-uri...version-toilets#6904
• Piloting mobile sanitation with full service provision - forum.susana.org/forum/categories/52-mob...n-toilet-design#3423
• Grant on Advanced Toilet with On-Site Water Recovery - forum.susana.org/forum/categories/106-us...oilet-in-urban-slums

Thanks for your help!
Best
Mona

I also don't receive notifications on threads I've posted in including these two:

forum.susana.org/forum/categories/105-pr...nfield-university-uk

forum.susana.org/forum/categories/52-mob...al-sludge-management

(edit on 7 May: I did get an alert about that one: forum.susana.org/forum/categories/52-mob...mit=12&start=12#8501 )

Slightly different in my case - recived notifications for the first two replies to the thread, but not subsequently (which was only posted yesterday morning):

Re: Please help us with troubleshooting the e-mail notification (subscription) in threads that you have posted in

Sorry for my late reply.
I also don't receive notifications on threads I've posted in or started :

forum.susana.org/forum/categories/106-us...oilet-in-urban-slums

forum.susana.org/forum/categories/34-uri...orary-toilet-designs

my account was migrated from the gates thing about two years ago. I already tried unsubscribing and subscribing again.

edit: what comes to my mind just now - I think the title of both threads was changed by a moderator at some point. no idea if that could be an issue?

Re: Please help us with troubleshooting the e-mail notification (subscription) in threads that you have posted in

Hello all,

thanks for posting in this thread and helping us to resolve the problem with the automated forum e-mail notification. We are happy to report that we think we found the problem and that we are quite confident that we have solved it now! It seems to have been a bug in the system, a server issue or a combination of both when the notifications should be sent out to multiple recipients (by using the BCC function in the e-mail). With the new setting of sending each user who is subscribed to that particular thread an "own" e-mail notification (and not using the BCC function anymore (“blind carbon copy”)) it seems to work correctly now.

We hope that now the system is working for you and you will stay informed about he latest posts to the threads you are subscribed to (by default: all the ones that you have posted in)!

If you suspect that it is still not working for you or if you experience any irregularities with the subscription function in the future, please don’t hesitate to bring it to our attention in this thread at any time. Thanks. Only when you tell us of a problem we can work on solving it.

Best regards,
Steffen
